Privacy Policy

Green Pastures Academic Services (“Green Pastures,” “we,” “us,” or “our”) serves families in Yuma, Arizona and online. We understand that the information you share about your child is deeply personal, and we treat it with the same care we would want for our own family. This policy explains what we collect through greenpasturesaz.org, how we use it, and the choices you have.
1. Information We Collect
Information you give us. When you submit a contact, inquiry, waitlist, or consultation request form, we may collect: parent or guardian full name, email address, phone number, child’s first name, child’s age or grade level, any learning or medical diagnosis you choose to share, IEP category, current school type, the service you are interested in, and the contents of your message.
Information collected automatically. Our hosting provider may log standard technical data such as IP address, browser type, device type, referring page, and time of visit for security and performance purposes.
Information from services. If you become a client, we may collect additional educational records, assessment notes, session notes, and scheduling or payment information outside of this website.
You are never required to disclose a diagnosis, IEP category, or other sensitive detail to contact us. Share only what you are comfortable sharing.
2. Sensitive Information
Parents and guardians may choose to share information about a child’s diagnosis, disability, IEP category, medical needs, behavioral needs, learning history, or other sensitive details. We treat this information as sensitive and only request what is reasonably necessary to evaluate or provide services.
Please do not submit Social Security numbers, financial account information, complete medical records, or other highly sensitive documents through our general website contact form unless we have specifically provided you with a secure method to do so.
3. How We Use Your Information
- To respond to your inquiry and schedule consultations or tutoring.
- To prepare an appropriate, individualized plan of academic support.
- To send confirmations, appointment details, and service-related updates.
- To add you to a waiting list when you request it.
- To maintain records, improve our services, and keep our site secure.
- To comply with legal obligations.
4. We Do Not Sell Your Information
We do not sell, rent, or trade personal information about you or your child. We do not use student information for targeted advertising, and we do not build advertising profiles from information families share with us.
5. When We Share Information
We share personal information only in these limited situations:
- Service providers. We work with service providers that help us operate our business, such as providers of website hosting, email delivery, scheduling, payment processing, data storage, communications, and other business operations. These providers process information only as needed to perform services on our behalf and are contractually obligated to protect it.
- With your permission. For example, if you ask us to coordinate with a school, therapist, or physician.
- Legal and safety. When required by law, subpoena, or court order, or when disclosure is necessary to protect a child from harm. Green Pastures personnel may have mandatory reporting obligations under Arizona law. When required, information may be disclosed to the Arizona Department of Child Safety (DCS), law enforcement, or another appropriate authority regarding suspected abuse, neglect, or other reportable conduct involving a minor.
6. Children’s Privacy
This website is directed to parents and guardians, not to children. We do not knowingly allow children under 13 to submit personal information through this site. Any information about a child that reaches us comes from a parent or guardian. If you believe a child has submitted information directly, contact us and we will delete it promptly.
7. Student Records and Educational Information
When we receive student records from a school, district, parent, guardian, or other authorized source, we safeguard those records and handle them consistent with FERPA, Arizona law, contractual requirements, or other student privacy requirements where they apply. We do not disclose a student’s records to third parties without written parental consent, except as described in this policy or as required by law.
8. Data Security and Breach Notification (Arizona)
We use reasonable administrative and technical safeguards to protect personal information, including encrypted transmission of form submissions. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Arizona’s data breach notification law (A.R.S. § 18-552) requires notice to affected Arizona residents within forty-five (45) days of determining that a security incident has resulted in, or is reasonably likely to result in, unauthorized acquisition of unencrypted personal information. If that occurs, we will notify affected individuals and any applicable state authorities or consumer reporting agencies as required under A.R.S. § 18-552.
9. Data Retention
We keep inquiry and waitlist information only as long as needed for the purpose it was collected, to serve you, and to satisfy legal or recordkeeping obligations. Client and student records are retained for the duration of services and a reasonable period afterward, then securely deleted, destroyed, or disposed of using methods appropriate to the sensitivity and format of the information and in accordance with applicable law, including A.R.S. § 44-7601 where applicable.
10. Your Privacy Choices and Requests
- Request access to the personal information we hold about you or your child.
- Ask us to correct information that is inaccurate or incomplete.
- Ask us to delete your inquiry or waitlist information, subject to applicable legal, contractual, educational, safety, and record-retention requirements.
- Withdraw consent or opt out of non-essential emails at any time; service-related messages about an active engagement may continue.
To exercise any of these, email admin@greenpasturesaz.org. We will respond within a reasonable time, generally within 30 days.
11. Cookies and Tracking
As of the effective date of this policy, our website uses only the cookies and local storage necessary for the site to function and remain secure. We do not use third-party advertising trackers or behavioral analytics. We do not currently use embedded social media widgets, scheduling tools, or analytics services that place their own cookies. External links (for example, to Instagram) are governed by those services’ own privacy practices. Most browsers allow you to refuse or delete cookies; the site is designed to work without them. We honor “Do Not Track” signals to the extent we are able by not engaging in cross-site behavioral tracking.
12. Third-Party Links
Our site links to outside resources such as Instagram. Those services have their own privacy practices, and this policy does not govern them.
13. Changes to This Policy
We may update this policy as our services or the law change. We will revise the effective date above and, for material changes, provide notice on this page.
